  • JOB TITLE: Administrative & Operations Coordinator

    REPORTS TO: Director of Operations

    PRIMARY OFFICE: Boulder, CO

    FSLA/EMPLOYEE STATUS: Full-Time (32 hrs. /wk.; 4 days/wk.); Non-exempt

    SUMMARY: The Administrative & Operations Coordinator provides administrative and operational support to the Executive Director and leadership team. This role coordinates day-to-day office operations, ensuring efficient, consistent, and well-organized administrative processes. Serving as a central point of coordination, the Coordinator supports internal workflows, vendor relationships, and organizational logistics.

    The position also performs key accounting support functions, including payroll processing and account reconciliations, ensuring accuracy and compliance. This individual demonstrates the organization’s mission and values while fostering positive relationships with staff, consumers, and community partners.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    Administrative Operations & Executive Support

    • Coordinate day-to-day administrative operations across all CPWD offices to ensure consistency, efficiency, and effective communication.

    • Provide direct administrative support to the Executive Director, including calendar management, meeting coordination, travel arrangements, and special projects.

    • Serve as a central point of contact for administrative needs across departments, supporting workflow, documentation, and communication.

    • Plan and coordinate meetings, trainings, and organizational events, including logistics and on-site support.

    • Assist with office space planning and infrastructure needs, including workstation changes, office moves, and resource allocation.

    • Manage purchasing and inventory of office supplies, equipment, and operational resources.

    • Maintain a safe, clean, and organized work environment across locations.

     

    Accounting & Financial Support:

    • Process biweekly payroll, including collection and review of employee timesheets for accuracy and completeness.

    • Perform monthly reconciliations of bank accounts, credit cards, and petty cash.

    • Track and support administration of employee benefits in coordination with leadership and external vendors.

    • Maintain accurate financial and personnel records in compliance with internal policies and regulatory requirements.

    • Support audits and financial reviews by preparing documentation and responding to requests.

     

    Organizational Support & Compliance

    • Maintain confidentiality of sensitive information and ensure compliance with applicable regulations, including HIPAA.

    • Complete required trainings and fulfill mandatory reporting responsibilities in accordance with organizational and legal requirements.

    • Manage workload independently, prioritize competing responsibilities, and escalate issues as needed.

    • Represent the organization’s mission and values in interactions with staff, consumers, and community partners.

    • Participate in staff meetings, trainings, and organizational initiatives.

    • Perform other duties as assigned to support organizational priorities.

     

    REQUIRED QUALIFICATIONS:

    • 2+ years of experience in administrative support, office coordination, or payroll processing.

    • Strong organizational skills and attention to detail.

    • Excellent written and verbal communication skills, with the ability to collaborate across remote teams.

    • Ability to manage multiple priorities and work effectively in a fast-paced environment.

    • Proficiency in Microsoft Office (Word, Excel) and Google Workspace; experience with web-based systems preferred.

    • Strong interpersonal skills and ability to work effectively with diverse staff and stakeholders.

    • Demonstrated reliability, professionalism, and sound judgment.

    PHYSICAL/ENVIRONMENTAL REQUIREMENTS:

    • Primarily office-based work requiring extended periods of sitting, standing, and computer use.

    • Ability to lift and move up to 50 pounds (lbs.).

    • Ability to travel between CPWD office locations and attend off-site meetings or events, as needed.

    JOB TITLE: Bilingual (English/Spanish) Information & Referral (I&R) and Outreach Specialist

    REPORTS TO:  Independent Living Advisor Manager

    PRIMARY OFFICE:  Boulder

    FLSA/EMPLOYEE STATUS:  Full-Time (32 hrs. /wk.; 4 days/wk.); Non-exempt

    SUMMARY:  Responsible for leading operational aspects of Information and Referral (I&R) services, outreach activities, and quality assurance efforts within CPWD’s services and catchment areas.  Seamless delivery starts with I&R, the gateway to all CIL services.  Information is exchanged when a consumer initially contacts the I&R staff.  While the caller may only inquire about services, a skilled staff person uses open-ended questions, combined with good interview skills, to determine what a consumer may need.  Will work collaboratively and closely with the Independent Living Advisor Manager, the Independent Living Advisor team, and with other programs and departments as needed.  This position serves a critical role in ensuring accurate and effective referrals to and from CPWD.  Will serve as a role model and mentor for people with disabilities within the community, and maintain positive and effective relationships with CPWD staff and partner agencies.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    Information & Referral Duties and Responsibilities

    • Provide Information & Referral (I&R) services to individuals with disabilities, professionals, and the community-at-large on disability-related issues such as housing, transportation, healthcare, etc.

    • Receive and respond to calls, walk-ins, emails, faxes, and letters from those seeking resources, information, and services from CPWD.

    • Address the individual’s immediate need by providing helpful information and referring them to appropriate service providers internally or in the community.

    • Obtain and document initial consumer information, and connect individuals with the corresponding CPWD staff for CPWD services as an intake consumer.

    • Conduct routine follow-up with individuals and community members to ensure needs were met.

    • Develop and maintain a deep knowledge and understanding of local community resources, such as cross-disability, government and nonprofit agencies that work with CPWD consumers.

    • Update and maintain Information & Referral Resource Drive to ensure staff have access to current community resources and updated contact information

    Outreach Duties and Responsibilities

    • Coordinate with human service providers, government departments, partner agencies, and the general public to outreach and educate about CPWD services

    • Engage in targeted outreach activities to all counties in CPWD’s service area.

    • Maintain effective and positive working relationships with all disability partners’ staff, as well as other agencies and service providers to facilitate accurate referrals and promote cooperation.

    • Promote the Independent Living Philosophy in the community.

    • Initiate outreach efforts to un- and under-served communities by attending cultural events and networking with community leaders.

    • Serve on councils, committees, and boards, as appropriate.

    • Attend community resource fairs to represent and share information on CPWD services.

    • Drive the CPWD bus, as requested (if applicable).

    General Duties and Responsibilities

    • Maintain a thorough knowledge of CPWD services and programs.

    • Able to work with diverse consumers on a cross-disabilities basis and understand their independent living needs to find resources in the community for referrals

    • Understand and promote the Independent Living Philosophy and CPWD’s mission, vision and programs to be able to communicate them to consumers and community organizations.

    • Work independently, schedule and manage personal workload, and recognize when there is a need for approval or support from supervisor.

    • Complete thorough, accurate and timely documentation.

    • Maintain strict confidentiality and work within the confines of HIPAA regulations.

    • All CPWD staff members are considered mandatory reporters, obligated to report signs of abuse they are aware of both on and off the job.

    • Travel as needed for direct services, groups, trainings, and outreach events.

    • Participate in CPWD staff meetings, program meetings, and staff training activities.

    • Perform other duties, as assigned.


    REQUIRED QUALIFICATIONS:

    • Bilingual (English/Spanish).

    • Associate’s degree in a relevant field or relevant equivalent experience.

    • Proficiency with MS Windows, MS Office, Google Suite, and other common computer programs.

    • Strong organizational and customer service skills, and attention to detail.

As our VIP Spoke Manager, you are the vital link between VA Medical Centers and our community partners. You will lead the charge in our Hub-and-Spoke service model.     SUMMARY:  This position is responsible for coordinating and supporting Spoke Agencies and VA Medical Centers to ensure effective program delivery, compliance, and strong collaborative relationships. Key duties include mentoring and advising agency staff, monitoring Veteran enrollments and referrals, overseeing documentation and audit requirements in Cumulus, and ensuring adherence to program standards and budget guidelines.     • Serve as a peer mentor and advisor to Spoke agency staff by offering guidance, training, encouragement, and program-related support. Promote high-quality customer service and advocate for Veterans when necessary.

    • Facilitate regular meetings with Spoke agencies to encourage open communication and cultivate strong, collaborative relationships.

    • Participate in ongoing meetings with VA Medical Centers to strengthen partnerships and maintain effective communication.

    • Partner with the Director of Strategic Growth to monitor Veteran enrollments, referral progress, and monthly billing activities.

    • Oversee Spoke Agency compliance with program requirements and established standards, including but not limited to:

    • Entering new referral information into Cumulus and assigning referrals to Spoke Agencies

    • Monitoring referral progress and ensuring timely follow-up

    • Verifying completion of required activities within Cumulus

    • Assisting with monthly VA audit requirements

    • Reviewing Veteran spending and notifying Spoke Agencies of any concerns

    • Ensuring documentation is completed accurately and within required timelines

    • Conducting periodic file reviews

    • Assist with required surveys and data collection efforts as needed.

    • Develop and maintain a comprehensive understanding of the Veterans Independence Program (VIP), including Self-Direction principles as they relate to Veteran Directed Care.

    • Maintain general knowledge of Veteran-related programs and how they intersect with VIP; collaborate with military and civilian community resources as appropriate.

    • Work closely with the Fiscal Management Service to resolve issues affecting Veterans served by Spoke agencies.

    • Collaborate with the Director of Strategic Growth to ensure billing and expenditures remain within approved budgets.

    • Coordinate with the Director of Strategic Growth and the Accounting Department to ensure collection of assessment and monthly administrative fees.

    • Complete thorough, accurate, and timely documentation for services provided to Veterans.

    • Uphold strict confidentiality standards and ensure compliance with HIPAA regulations.

    • All CPWD staff members are considered mandatory reporters, obligated to report signs of abuse they are aware of both on and off the job. 

    • Demonstrate high standards of ethics, integrity, and professionalism.

    • Maintain working knowledge of the Americans with Disabilities Act (ADA), the Rehabilitation Act, and the Fair Housing Act.

    • Participate in CPWD staff meetings, program meetings, and training sessions.

    • Travel up to 15% as required for direct services, meetings, outreach, and training events
